Title: Events and Weddings Co-ordinator
Reporting: Head of Weddings and Events
Starting Salary: £18,000 – £21,000
Location: The Estate Office, Powderham Castle

Role Objectives

The primary objective of the Events and Weddings Co-ordinator is to sell and subsequently deliver high quality events, private functions and weddings. Each are of equal importance in maintaining a successful and sustainable department as part of a multi-faceted business.

The role is an operational one, and to ensure that our customers are happy and that their event goes to plan, you will be expected to work at all of your allocated client’s events throughout the year, therefore this position will require evening and weekend working as necessary. Some of these shifts will be as an acting Duty Manager and require you to supervise events staff in addition to carrying out your own responsibilities.

As an Events and Weddings Co-ordinator, you will be responsible for co-ordinations of events, functions and weddings. You will be involved in a range of events varying from festivals and concerts, theatre productions, physical endurance, wellbeing events and more. You will work with wedding clients from initial meeting to their wedding day.

You will work with the head of department, to ensure that the events calendar is booked with varied events and functions. You will be involved in the production and organisation of new events at Powderham and assist on carrying each out to an exceptional standard.

Desirable Attributes

  • Experience in organising and co-ordinating events and/or weddings
  • Ability to work and travel for variable shift patterns including evenings and weekends
  • Demonstrable ambition, organisational skills and enthusiasm
  • Confident and professional but personable and outgoing
  • Able to work under pressure and multi-task effectively and calmly
  • Other experience in hospitality roles such as bar work or wait-staff experience beneficial.

Responsibilities

  • Manage all events and weddings in a professional manner, ensuring they run smoothly; including all set up and pack down
  • To take responsibility for the sales, co-ordination and delivery of events, weddings and functions
  • Liaise with clients hosting events in the castle grounds and act as duty manager on site whilst the event takes place, overseeing the use of Powderham grounds and licensable activities
  • Work with suppliers and service providers to produce safe and successful events, functions and weddings
  • Communicate event plans and potential disruptions to the community with local stakeholders
  • Take a lead role in co-ordinating event logistics for our in-house events
  • Assist the Events Manager with their responsibilities during Concerts and Events
  • Assist on ticketing and website updates for events
  • Provide admin support to the Head of Department
  • Work with grounds team to ensure event sites are suitable for outdoor events to take place and oversee post event activities to protect local wildlife/ environment
  • Aiming to work sustainably in all events, weddings and functions
  • Work with attractions team to plan castle and grounds usage around public opening and activities
  • Working with the hospitality team to deliver private functions to a high standard
  • Work closely with Head Housekeeper to book accommodation and ensure spaces are prepared for wedding/ function guests
  • Proactively always consider Covid-19 when planning events, weddings and functions
  • Oversee bar staff and deliver a safe and efficient bar for weddings and functions inside the castle
  • Periodically act as duty manager for overnight guests at weddings and functions

Contract length: 12 months
